You can use a Term penalty profile to select a particular terminology from the XTM Cloud database, based on its tags and tag groups, and then penalize terms during analysis of the source file (see How to create tags and tag groups to find out how to create tags in XTM Cloud).

Applying a Term penalty profile provides project managers with the flexibility to control which terminology is used for a project and which one should be discarded from the translation.

1. As a user with the Administrator role, go to Configuration → Data → Tags → Term penalty profiles, and click the Add button.

2. In the general section, proceed as follows:

• Enter a penalty Profile name,

• Enter a Description (optional),

• Select the Active checkbox;

3. In the Rules section, add rules for the penalty profile. Then specify which Actions are to be taken once the rule criteria have been met. As far as penalizing terms is concerned, there is only one action you can perform – Remove term. You can add multiple conditions within one rule. Each penalty profile can have multiple rules with their corresponding action.

4. Once the penalty profile is set up, it will be displayed in the XTM Cloud UI, in the Term penalty profiles section.

You can always modify a newly-created Term penalty profile by simply clicking on it directly, or on the context menu icon, and then Edit.

5. Next time you create a project, you can apply the previously created Term penalty profiles in the Tag settings section.
