How to export terminology from XTM Cloud

Guidelines

  1. First, you need a Terminologist role to be able to export XTM terminology. To activate the role, go to Users User list → (select a user) → General General info and apply the Terminologist role in the Roles section.

  1. Furthermore, in the Access rights tab, and then in the Terminology section of the user’s settings, enable the Export option.

  1. Once you have a user with the relevant rights, go to Terminology Export.

  1. Proceed as follows:

  • Select a Customer to export your terms from (you can select all of them).

  • Select a Language that you would like to export your terms from (you can choose all of them).

  • Select a Translation language to specify the translations that you would like to export (if they exist), alongside their equivalents specified in the Language field (you can select all of them).

  • Specify the appropriate Status to export your terms from (you can select all of them).

  • Further refine your list using the advanced criteria available by clicking the context menu icon on the right-hand side of the page. Alternatively, leave the fields set to All to export all of your terminology into one file.

  • Ensure that you click on the Search button to refresh the list of filtered terms (the Search results section) on the left-hand side of the page. (The list should keep on updating automatically.)

  • Finally, click the Export button.

  1. A new popup window is displayed. In it:

  • Choose the export File type. The following file types are available: XLSX, XLS, TBX, MTF.

  • Select Concept and specify which fields are to be included in this section in your export file.

  • Select Term and specify which fields are to be included in this section in your export file.

  • Select Export only terms from the search to make sure that you only include the terms from the Search results list.

  • Select Include term and concept IDs to export terminology based on unique IDs. This improves the management and update of homonyms.

  • You can also adjust which term translations are to be exported, in the Translation language field, if you have not done this before or you want to select different terms.

  • Once you have made your settings, click Export.

  1. The download will start automatically, and a new entry will be added to the Export history section. There, you can return to the export and download the file again by clicking on the download icon in the Download column.
