How to manage reference material (reference files)

Introduction

In XTM Cloud, you can upload reference material both to XTM Cloud customers and XTM Cloud projects. Reference files are usually style guidelines that described how to work with a particular XTM customer or detailed descriptions of XTM projects.

This article explains how to upload reference material to XTM Cloud and where to download it later.


Instructions

XTM Cloud customers

In XTM Cloud, you can upload customer-specific reference files.

  1. To do so, go to Customers → Customer list. Next, select a relevant customer.

  1. Go to the Edit tab screen and find the Reference material section. Upload your files in the Select files to upload field. Do not forget to Save the changes.

  1. This is also the only place within the XTM Cloud customer settings where you can download previously uploaded Reference material, by clicking on the context menu for a particular reference file and clicking Download.

XTM project

In the case of XTM Cloud projects, there are actually a couple of places where you can upload reference material:

  1. At the project creation stage, in the Translation section, by selecting the Reference material option.

  1. Once the project is created in XTM Cloud, you can upload reference material in the Project Editor. Select General info → Reference material, and upload the reference material in the Select files to upload field Additionally, as in the case of the XTM Cloud Cloud customer, you can also download previously uploaded reference material by clicking on the context menu for a particular reference file and clicking Download.

  1. Another way to download reference files is to select Project Editor → Workflow. At language level, open the context menu for a particular target language and select Download reference material from the dropdown.

  1. Reference material can also be downloaded for single source file (Project Editor → Workflow). Open the context menu for a particular source file and select Download reference material from the dropdown.

  1. Another way to download reference material is to select Project Editor → Files . Simply click on the Reference material button.

  1. Staying in the Files section, reference files can also be downloaded from the context menu in the All files section.

  1. Finally, still staying in the Files section, reference files can also be downloaded from the context menu for an individual source file.

IMPORTANT!

Keep in mind that, whenever reference material is downloaded for an XTM Cloud project, the package contains files from BOTH the XTM Cloud project itself and the XTM Cloud customer for which the XTM Cloud project in question has been created.

For this reason, the package contains two sub-folders:

  • customer reference material,

  • project reference material.
