Use the History feature
Â
Introduction
This is an extra feature that activates full history visibility in Smart Projects/Quotes, Classic Projects/Quotes, and other system elements. Additional charges may apply. Please contact our Help Desk or your Regional Growth Manager for more information.
Â
The History feature helps you keep track of what changes were made to the projects, clients', and vendors' profiles while you were away.
Global configuration
Go to Configuration Menu → General Configuration → Settings → History.
There are three areas for which the history is captured: Clients, Vendors, and Projects or Quotes. Select the ones that are critical to your operations and need to be monitored. Bear in mind that the gathering of such background data may slow down the system a little bit. Also, the history is stored for a maximum of one year, but you may decide on monthly cleanups.
All history entries can be removed with a single mouse click on the Purge History button, so be careful who has access to this area of the system. You may also choose which groups of users will see the historical data by selecting or deselecting the History checkbox in Configuration Menu → General Configuration → User Management → User Groups and Rights.
All history entries
Go to Configuration Menu → System Information → History to view every stored entry. This page is accessible to users who have been granted administrative rights.
This history view lets you filter results by 5 criteria:
Responsible → by the user behind an action (includes automatically performed actions)
Date → by the action date
Action → by the action type: added, changed, deleted, erased
Scope → by the portal area: clients, vendors, quotes, or projects
Name → by the name or ID of a client, vendor, project, or quote.
Smart project history
To see the history of a Smart project go to the History card and click the Show History button. Every smart project will display at least 10 most recent entries. All entries and filters are shown after the purchase of the full functionality.
The History card shows you the critical changes that have been made to the project from its very creation. Three filters let you quickly find out when exactly the POs were sent or the Job status changed.
Classic project history
When it comes to Classic projects, you can find the History tab on four levels: Clients, Vendors, Quotes, and Projects. On those levels, you can narrow down the list of historical actions with three filters:Â Responsible, Date, and Action.
Client and vendor history
In the History tab of the client and vendor profiles, you can find information about changes in clients’ and vendors’ main data, their contact person’s details, price profiles, price lists, rates, and language combinations.
Quote and project history
In the History tab of a project or a quote, you can find information about changes in the main data, tasks and jobs, receivables and payables, discounts, and surcharges.
