Create the 'Offices' structure

Introduction

To use the ‘Offices’ functionality, you must reflect your client’s organizational structure by linking client profiles that represent the company’s departments, branches, offices, or subsidiaries.

The same approach applies for enterprises that want to reflect their internal structure.


Link the first two offices

To establish a parent/child relationship between client profiles, perform the following steps:

  1. Sign in to the XTRF Home Portal.

  2. Go to the Clients module.

  3. In the Clients display, locate the profile of the subordinate office, then click the icon.

  4. In the client profile display, select the Main Data tab > Offices subtab.

  5. In the Parent Office section, click the Select button. The Select Office pop-up window will be displayed.

  6. In the list of your clients, locate the parent office account, then click on it.
    Use the filters on the left-hand side to narrow down the client list.

    The selected client will be displayed in the Parent Office section.

  7. Click the Save button. The two offices are now linked, and the name of the parent office is displayed. Now you can add other subordinate offices to reflect the structure of your client organization.

To check the linked offices structure or to open a connected office’s client profile, use the dropdown menu in the top left-hand side of the client profile display.

Add subordinate offices

There are two ways of adding another client profile to the ‘Offices’ structure:

Option 1. Repeat the steps from the Link the first two offices section above for the new subordinate office.

Option 2. Use the Offices table in the Offices subtab:

  1. Open the client profile of the office to which you want to add a new subordinate office.

  2. Select the Main Data tab > Offices subtab.

  3. Click the Edit button to enter edit mode.

  4. Click the Select Client button. The Select Office pop-up window will be displayed.

  5. In the list of your clients, locate the subordinate office account, then click on it.
    Use the filters on the left-hand side to narrow down the client list.
    The selected client will be displayed as a subordinate in the Offices section on the left and in the Offices table.

  6. Click the Save button.

  7. If needed, repeat steps 4-6 for other subordinate offices.
