Automatic actions
Automatic actions are operations performed automatically by the XTRF system.
Availability request
Availability request is an e-mail notification to vendors asking them whether they can accept the work on a job on the suggested terms.

Base system currency
Base system currency is used byĀ XTRF as the default currency for cost and price calculations. If any invoice or payment has to be created using another currency, its value is converted from the Base system currency using the latest Exchange rate.

Branch
Branch is a department, affiliate, or branch of your company.

Bundle
Bundle is a set of files prepared for a specificĀ task in a Classic project. You can create a bundle to spread the work between multiple vendors.

Calculation unit
Calculation unit is a predefined value used to recalculate the volume of work into the price, for example, source word or target page. The calculation units are used to create rates for specific jobs in certain language combinations.

Default system calculation units
There are two default system calculation units that are set in the Configuration menu.
Base System Calculation Unit ā one unit that serves as a reference for other units.
Default CAT Calculation Unit ā the unit used by the system in CAT calculations (by default, it is set to source word, but you can select another one).

CAT grid
CAT grid is a price breakdown containing rates applied to particular match types when using Translation Memory or Machine Translation.
The CAT grid rates can be provided as a percentage of the main rate or as fixed numbers.

CAT Payable
CAT payable is a payable based on CAT analysis of the files given to the vendor.

CAT Receivable
CAT receivable is a receivable based on CAT analysis of the files provided by the client.

Categories
Categories are labels you can define in XTRF and use to organize your data. You can create a category and apply it to items such as Projects, Clients, Vendor Invoices, etc., to structure and filter your data.

Client (Customer)
Client or Customer is a company or an individual who orders the projects.

Contact Person
Contact Person (Contact) is a person who can be called or e-mailed in case of any requests or issues or to confirm a task or a job. Clients and vendors can have more than one contact person. You can configure which contact person will receive e-mail notifications and grant them access to the Client and Vendor Portals.

Country-specific Tax No.
Country-specific Tax No. is a localized VAT / Tax Number ( e.g., in Poland, the number is called NIP; in Italy - P.IVA; in the UK - VAT Reg No., etc.).

Custom column
Custom column is an additional column you can add to different views of the XTRF Platform to display non-standard data.

Document template
Document template is a customizable template used to generate different kinds of documents on the XTRF Platform.

Job
Job is a part of the project related to a specific vendor. It contains the full set of instructions and agreements with the vendor, including the job type the vendor needs to perform and the payables they will receive.

Job offer
Job offerĀ is an e-mail message sent to a group of vendors, prompting them to indicate their availability for an upcoming project. Job offers also appear on the Vendor Portal.

Job type
Job type is a service (single action or multiple actions treated as one) performed by a vendor or anĀ XTRF user to complete a project. The typical job types are translation, proofreading, editing, etc.

Offer
Offer is a proposal created within an opportunity. Offers can be transformed into quotes and sent to clients so they can choose the best option for the potential order.

Opportunity is a potential deal with a particular client. Within an opportunity, you can track the progress of different proposals and evaluate your chances of successful cooperation.

Payables
Payable represents the calculations (cost and details) for a specific job you have to pay the vendor for.

Periodic jobs
Periodic job is a repeatable administrative action that can be handled automatically.

Price list
Price list is a list of standard rates that can be shared by a group of clients or vendors.

Price profile
Price profile is a list of rates that applies only to a specific client or vendor.

Process
Process is a sequence of steps used in Smart projects and quotes. Processes can be predefined by process templates or configured directly in a Smart project or quote.

Process template
Process template is a predefined sequence of steps used in Smart projects and quotes. You can use built-in process templates or design your own in the Process Template Designer.

Project confirmation
Project confirmation is a document containing detailed project information, including the overall project cost, requested service, and language pairs. Project confirmation is sent to the client once a project is started.

Purchase order
Purchase order is a detailed job specification sent to the vendor. It includes the most important information about the job (type, specialization, start and deadline dates, special instructions, etc.) and payment details.

Receivable
Receivable represents the calculations (cost and details) for a specific service a client has to pay you for.

Service
Service is a marketing name for a workflow or process you offer to clients.

Smart Connectors
Smart Connector is a tool that automatically creates predefined projects and quotes after a file is uploaded to the folder or sent in a message to the e-mail address specified in the Smart Connector configuration.

Specialization
Specialization is a qualification such as a knowledge of medicine or law terms required to perform a specific job.

Step
Step defines which job type will be done at a certain stage of a Smart project or quote. Steps can consist of one or several jobs of the same type.

Quote
Quote is a document that outlines the price of the particular translating service before the actual purchase. A quote may be created by a project manager or requested by a client.

Quote confirmation
Quote ConfirmationĀ is a detailed project specification sent to the client for approval before launching the project. It gives an estimate of the project cost and the delivery date.

Vendor (Provider)
Vendor or Provider is a company or an individual who performs the translation, proofreading, DTP, or any other activity for you.

Vendor selection rules
āāVendor selection ruleāā is a set of specific criteria used to automatically create a list of recipients for job offers.
View
View is a method of sorting the list of items in a table. The most commonly used views are included in the system. However, users can create, edit, and remove their own views.

Virtual entity

Volume
VolumeĀ is an estimated number of words in a source file. Volume is used to calculate estimated job times in Smart projects.

Workflow
Workflow is an interactive graphic representation of the sequence of actions (tasks or jobs) that will be performed for your client. It can be specified when creating a new task or project or converting a quote to a project. You can define as many workflows as you need. We advise creating workflows for at least the most commonly used sets of project tasks. This way, files are automatically assigned to your projects, and many actions (like sending or receiving documents) can also be automated. Defining workflows is crucial for integrations with CAT tools.

Workflow resources selection rules
Workflow resources selection rule is a set of specific criteria used to automatically assign a resource to the workflow.
Work Log
Work Log is a functionality designed to store and manage information about the time users spend on activities in the Home Portal.
