XTRF Email Assistant
What is XTRF Email Assistant
XTRF Email Assistant is an enhanced version of a Smart Connector that uses Artificial Intelligence to create quotes based on email content. The Email Assistant uses AI to read emails as a human would. If a new message contains a request for localization, the Email Assistant creates a new quote with the details provided in the email.
The Email Assistant does not automatically approve quotes. XTRF users can manually approve them or send them to the client.
For more information on Smart Connectors, see the Smart Connectors - Technical Guide.
How does XTRF Email Assistant work
The Email Assistant uses heuristics to assess whether a message is a new quote and a language model to analyze the content and classify emails as requests.
XTRF Email Assistant works with email accounts from Microsoft (Office 365, Outlook.com) and Google (G Suite, Gmail.com) and can handle emails in different languages (for details, see the Email Assistant Q&A | Which languages does the XTRF Email Assistant support? article).
The Email Assistant recognizes the source and target languages and specializations and adds them to the quote. If languages or specializations are missing, you will be informed about that in XTRF.
The Email Assistant matches the client and service based on the email content. You can also preselect a specific service for a specific client (for details, see the Email Assistant Q&A | Can I precelect services for specific clients? article).
Email attachments are uploaded to the quote, but XTRF users must manually categorize them as source or reference files.
To stop the assistant from reading emails, you can unlink the email account from XTRF. For details, see the Manage the connection between your e-mail account and XTRF Email Assistant | Disconnect your XTRF instance from the Email Assistant service guide.
You can check the number of read emails and created quotes at the bottom of the Assistant page.
