You may add a new vendor's profile to your database manually, or you may use for this purpose the Import data functionality. The following guide shows how to create a client profile manually.
Manual creation vs import We recommend creating vendor profiles manually if you have a small number of vendors (up to three vendors). For larger number of vendors, it would be more efficient to import the data.
I. Add a new vendor profile
To add a new vendor, perform the following steps:
Sign in to the XTRF Home Portal.
Click the button on the top menu bar and select Vendor from the drop-down menu. Alternatively, go to the Vendors module and click the Add Vendor button in the top right-hand corner. You will be directed to the Add Vendor page.
Provide the necessary details:
A unique name without any special characters. This name will be used internally and stays invisible to your vendor.
A vendor's legal name - the official vendor’s name that will be used in all documents generated on the Home Portal. A legal name can contain special characters or be the same as the name.
The main contact e-mail address of your vendor. E-mail notifications are the prime form of contact in the Home Portal, so be sure you provide an actual, working e-mail.
(Optional) Select the country of your vendor registration.
(Optional) From the Branch drop-down list, select the branch of your company responsible for this vendor.
(Optional) Check the Individual box if this is an individual vendor, not a company. Additional fields will appear:
Provide your vendor’s personal details: first name (obligatory), last name, gender, and position (optional).
Click the Continue button. You are directed to the profile of the newly created vendor.
II. Add a contact person
A contact person is required for most of the operations performed in the Home Portal, especially when you deal with translation agencies.
If you have checked the Individual box while adding a new vendor and provided their personal information in the additional fields, a contact person with the same name and address will appear in the contact summary tab.
Click the button in the Contact Summary tab. An Add Contact Person pop-up window appears.
Provide the contact person details and click the Add button.
You have added a contact person to your vendor profile.
You can also import contact person data. Hover over the button to activate the Import button or click the icon on the right-hand side of the page.
To edit the contact person's details, hover over their card and click the Show Profile button that appears in the card’s bottom right-hand corner.
