Introduction

Sometimes a phrase or an expression is incorrectly translated into a particular language throughout the entire project cycle. As a consequence, such translation ends up in your TM base and is later proposed inaccurately as a TM match in other XTM projects.

If the scope of the change you are going to perform is not excessively huge (a relatively small number of TM records) or the phrase is quite short (usually one word), you can quickly update it directly in the XTM Cloud UI, without resorting to exporting your TM, updating it manually, and importing it back again. The method described here is also less error-prone, as you do not have to watch for the TM-specific settings in the XTM Cloud UI, as opposed to the manual update. Nonetheless, it is a good practice that such changes performed on a large-scale TM should be first consulted with the XTM Support team.

Before you proceed, make sure to read the following article, to have a good understanding of what it takes to manage your TM in XTM Cloud: How to manage a translation memory (TM) in XTM Cloud.

Instructions

  1. In XTM Cloud, go to TM → Manage.

  2. Choose a Customer for which the XTM project has been created. If you are convinced that the incorrect phrase also occurs in TM records coming from other XTM customers, you might as well select All.

  3. Select a Source and Target language combination in which an incorrect phrase occurs.

  4. If the problem concerns only one XTM project, select a relevant one from the Project dropdown.

  5. Make sure you select the target checkbox in the Search in option.

You can only perform a Replace function in target segments, not source ones (due to safety restrictions).

  1. In the Search phrase field, enter the phrase you want to correct.

  2. Click the Search button to list all the TM records containing that phrase highlighted green. Ensure that those are truly the TM records you want to update.

  3. Next, enter the new phrase in the Replace with field.

  4. Finally, update your TM records by using one of three available buttons:

  • Replace → It updates only a currently active TM record,

  • Replace/Next → It updates a currently active TM record and immediately goes to the next one, for you to review.

  • Replace all → It updates all listed TM records at once.

IMPORTANT!

Please take extra caution, as you cannot reverse this action!

Once you decide to use Replace all, a confirmation window will pop up informing you about the number of TM records updated.
