SharePoint: Automatic continuous localization

Introduction

XTM Connect – Microsoft SharePoint supports the continuous localization of content submitted to XTM Cloud so that the content is always up to date without manual input by Project managers.

XTM Connect – Microsoft SharePoint checks the SharePoint content files specified in projects created using a particular connection profile in the XTM Connect – Microsoft SharePoint Administrator panel. It does so automatically and continuously updates detected changes in content. For instance, if the source text in particular files changes, XTM Connect – Microsoft SharePoint will detect that change and automatically update the source file in XTM Cloud, at the specified time. All in-progress and finished XTM Cloud projects will be updated if any source content is changed in the SharePoint CMS.

A project that is continuously updated with new content in XTM Cloud is called a continuous project. You can differentiate it from other projects by looking at the Updates column, in the Project list view.

How does it work?

The feature can be enabled in the SharePoint connector administrator panel. Navigate to the Connection profiles section and select the connection profile in which you would like to enable automatic continuous localization. Then, select the Enable automatic continuous localization option in the Content synchronization schedule section.

Additionally, in the Content synchronization from SharePoint interval (minutes) field, enter a minute interval at which the connector will detect any changes made to the content files in the SharePoint CMS, and automatically update the corresponding source files in XTM Cloud.

Finally, in the Scheduled check for XTM content field, specify the time, in hours and minutes, at which XTM Connect – Microsoft SharePoint automatically checks the state of XTM Cloud projects to ensure that everything is up to date in the SharePoint CMS.

Once you set everything up, automatic continuous localization will work according to the following principles:

  • The project in XTM Cloud that will be subject to continuous localization has to be active at all times. If it is either archived or deleted, automatic continuous localization will cease.

  • If the project is IN PROGRESS, in XTM Cloud:

    • if one of its source files is updated with new content in the SharePoint CMS, the corresponding source file in the XTM Cloud project is automatically updated with that content and the workflow for that file is reset.

    • if any new file is uploaded in the SharePoint CMS, it will automatically be added to the XTM Cloud project as a new source file.

  • If the project is FINISHED, in XTM Cloud:

    • if one of its source files is updated with new content in the SharePoint CMS, the corresponding source file in the XTM Cloud project is automatically updated with that content and the workflow for that file is reset, which causes the entire project to reopen.

    • if any new file is uploaded in the SharePoint CMS, it will automatically be added to the XTM Cloud project as a new source file, which causes the entire project to reopen.

IMPORTANT!

Use the automatic continuous localization feature with caution! Deletion of the corresponding project in XTM Cloud will cause the feature to stop working at all, since XTM Connect – Microsoft SharePoint will be trying to fruitlessly update an XTM Cloud project that no longer exists. If that happens, the feature needs to be disabled until the project involved is permanently deleted from the XTM Connect – Microsoft SharePoint database.
