Introduction
XTM offers quite an extensive reporting utility that previews the source and target translation in an off-line mode, along with, amongst others, segment IDs, XTM statuses, comments, date created, date modified, segment revisions as well as personal details of the users who took part in the workflow process and modified entries.
Enabling/downloading the report
The Preview Extended report is available for internal project managers, linguists as well as LSPs on condition that the administrator first allows for downloading the said report in the main XTM instance in one of the three available formats: XLSX, HTML, PDF in Configuration → Settings → Translation → Workflow and access → Linguist general options → Allow linguist to download.
2. Once it is enabled, the report can be generated and then downloaded in the Project/Task file manager:
for project managers: Project Editor → Files → Preview → (generate Extended table…);
for linguists: Project context menu → Open File Manager → Files → Preview → (generate Extended table…);
IMPORTANT!
Subcontractors (LSPs) do not have the possibility to generate an Excel Extended table, so the lack of such option on their side even though the Contractor allowed them to do so is expected!

Upon the attempt to generate the Preview Extended table, you will be presented with a popup window allowing to choose concrete columns you would like to include in your report.
Defaults → This section allows you to choose from one of five predefined report templates.
Report columns → This section presents all the columns that you can freely include/exclude.
Report options → This section displays any additional settings that further modify the report:
All languages → When dealing with a multilingual Extended table report, each column included in the said report breaks up into as many sub-columns as there are target languages, each of them presenting data for its respective language.
Only include segments with QA warnings → If the QA warnings column is activated, this setting allows for inclusion of only those segments which have some QA warnings in Workbench.
Only show last revisions per step → The setting adds the Last revision column (instead of the Revisions column) where it displays only the last revision for a given segment.
Populate target with source → If there is no translation inserted in the target segment in Workbench, such segments will be populated with the source text in the report.
Show usernames → It displays usernames in the adequate columns, such as Comments, Corrector changes, etc.
Description of columns

Segment number | It shows the number of a segment in Workbench.

Source text | It shows the segment’s source text. |
XTM status | It shows the XTM status of a given segment at the time of generating the report. It can take the following values:

Segment ID | It relates to ID-based matching. If the feature is enabled, it shows ID of this segment.

Target text | It shows the segment’s target text. |
XTM status/match type | It shows both the XTM status of a given segment and match type (if exists) at the time of generating the report. Match types can take the following values:

Character limit | If any character length restriction is imposed on the target, it will be displayed in this column accordingly. Keep in mind that the character restriction can be applied only to whole paragraphs and not individual segments. |
Corrector changes | It shows all the changes to the text done by linguists assigned to the Correct step(s), following the first/Translate step. The changes are marked either blue (addition) or If the Show usernames setting is activated, the column also displays date, time and username of the user who made a correction. |
Date modified | It shows the date and time of last modification of a given segment. The date and time format displayed in the said column is based on individual User details settings. |
Last modified by | It shows the username of user who last modified a given segment. |
QA warnings | It shows QA warnings (if exist) as they appear in the Workbench QA panel for a given segment. Keep in mind that, contrary to Workbench, this column does not display spelling errors. Also, its exclusion from the report switches off the Only include segments with QA warnings setting. |
Comments | It shows linguists' comments (if exist) from Workbench for a given segment. If the Show usernames setting is activated, the column also displays date, time and username of the user who made a comment. |
Date created | It shows the date and time when the first translation version was created for a given segment. Therefore, if the segment receives a pre-populated match, the date will point to an actual project creation date. The date and time format displayed in the said column is based on individual User details settings. |
Filename | It shows the name of the file that a given segment comes from since one report can be generated for multiple files. |
Matches | It shows all the matches that a given segment received. They do not have to be pre-populated. The column displays the match type (in bold) as well as its text. It can take the following values:

Revisions | It shows all the translation versions of a given segment except for the last one, starting from whatever was inserted at the beginning. As mentioned, the final manual translation of a segment does not count as a revision; therefore, it will not be displayed in the column.
As a result, we end up with two revisions:
Along with the number of revision, the column also shows the workflow step name in which a given revision took place. If the Show usernames setting is activated, the column also displays date, time and username of the user who made a correction. |
Pre-translated text | It shows a pure, unedited by a linguist, text coming directly from a pre-populated MT/TM match if the project settings allowed so. The bold label at the top of the text indicates an actual match that was applied. |
Post-edited text | The column shows the linguist’s very first manual revision of a machine-translated or TM pre-populated text.
As a result, the column “Post-edited text” will display only the translation that was inserted in the Translate step, that is:

Final text | It shows the text which is a final translation version of a given segment in Workbench and as such will be displayed in a target document. Mind you that the workflow step name in bold points out to the step where this final version was inserted / the segment containing this version status was confirmed, so it does not necessarily have to be the last step in the workflow. A linguist might as well have entered one of the previous steps and performed the change there. |
Edit distance score | It shows the score that will help you track the number of changes made by a post-editor in a machine-translated target segment. Please, see the following article to learn about accessing MT performance data: Accessing machine translation (MT) performance data. |

The Preview Extended table can also be downloaded directly from Workbench:
In Workbench, go to Preview and click Excel extended table.
2. At the bottom right of the page, a green message will appear signifying the readiness of the said report.
Further, keep in mind that the “Workbench” version of the Extended table allows for obtaining only those segments which have been filtered in Workbench. In other words, you can first filter specific segments using in-built Workbench filters and then download the segments' data in the form of the said report.
