Introduction

XTM offers quite Cloud includes an extensive reporting utility that previews the source and target translation in an off-line mode, along with, amongst among others, segment IDs, XTM Cloud statuses, comments, date created, date modified, segment revisions as well as and the personal details of the users who took part in the workflow process and modified entries.

...

Enabling/downloading the report

  1. The Preview Extended report is available for internal project managers, linguists as well as LSPs on condition and LSPs provided that the administrator first allows for downloading the said report in the main XTM instance in has enabled the option to download the report in one of the three available formats, in the main XTM Cloud instance: XLSX, HTML, PDF in Configuration → Settings → Translation → Workflow and access → Linguist general options Allow linguist to download.

...

    ...

    1. Once this option has been selected, reports can be generated and then downloaded in the Project/Task file manager:

    • for project managers: Project Editor → Files → Preview → (generate Extended table…);

    ...

    • for linguists: Project context menu → Open File Manager → Files → Preview → (generate Extended table…);

    ...

    Note

    IMPORTANT!

    ...

It is not possible for subcontractors (LSPs)

    ...

to generate an Excel Extended table, so the lack of

    ...

this option on their side, even though the Contractor has allowed them to do so, is to be expected!

    Preview Extended table window panel

Upon the attempt When you try to generate the Preview Extended table, you will be presented with the system will display a popup window allowing to choose concrete columns in which you can select the specific columns that you would like to include in your report.

    ...

    • Defaults → This In this section allows you to choose from , you can select one of five predefined report templates.

    • Report columns → This section presents describes all the columns that you can freely include in/exclude from reports.

    • Report options → This section displays any additional settings that further modify the report in any way:

      • All languagesWhen dealing with In a multilingual Extended table report, each column included in the said report breaks up into as many sub-columns as there are target languages, each of them presenting data for its respective specific language.

      • Only include segments with QA warnings → If the QA warnings column is activated, this setting allows for inclusion of only those segments which have some restricts inclusion to segments that have QA warnings, in XTM Workbench.

      • Only show last revisions per stepThe This setting adds the Last revision column, which only contains the last revision for a particular segment (instead of the Revisions column) where it displays only the last revision for a given segment.

      • Populate target with source → If there is no translation has been inserted in the target segment in XTM Workbench, such segments it will be populated with the source text in the report.

      • Show usernames → It displays usernames in the adequate appropriate columns , such as Comments, Corrector changes, etc.

    XTM status/match type

    It shows

Shows both the XTM status of a

    given

particular segment and its match type

    (if exists)

    at the time

    of generating

the report was generated (if the match type exists). Match types can

    take

have one of the following values:

    • In context exact match

    • ,

    • Non-translatable.

    Character limit

    If

    any

    a character length restriction is

    imposed on

    set for the target,

    it

that restriction will be displayed in this column

    accordingly

. Keep in mind that the character restriction can only be applied

    only

    to

    whole

    entire paragraphs

    and

    , not individual segments.

    Corrector changes

It shows all the changes made to the text

    done

by linguists assigned to the Correct step(s), following the first/Translate step. The changes are either marked

    either

in blue (addition) or crossed out red(removal).

If the Show usernames setting is

    activated

selected, the column also displays the date

    , time and

and time at which a correction was made, and the username of the user who made

    a correction

    it.

    Date modified

It shows the date and time of last modification

    of

    to a

    given

particular segment. The date and time format displayed in

    the said

that column is based on individual User details settings.

    Last modified by

It shows the username of the user who last modified a

    given

    particular segment.

    QA warnings

    It shows

This contains the QA warnings for a particular segment (if they exist), as

    they appear

listed in the XTM Workbench QA panel

    for a given segment

. Keep in mind that, contrary to XTM Workbench, this column does not display spelling errors. Also, its exclusion from the report switches off the Only include segments with QA warnings setting.

    Comments

    It shows

    linguists'

linguist comments (if they exist) from XTM Workbench for a

    given

    particular segment.

If the Show usernames setting is

    activated

selected, the column also displays the date

    , time and

and time at which a comment was made, and the username of the user who made

    a comment

    it.

    Date created

It shows the date and time when the first translation version was created for a

    given

    particular segment. Therefore, if

    the segment receives

a pre-populated match is inserted in the segment, the date will point to an actual project creation date. The date and time format displayed in

    the said

that column is based on individual User details settings.

    Filename

It shows the name of the file that a

    given

    particular segment comes from

    since

(one report can be generated for multiple files).

    Matches

It shows all the matches that a

    given

particular segment received. They do not have to be pre-populated. The column displays the match type (in bold)

    as well as

    and its text.

    It can take

The status can have one of the following values:

    • ICE

    • ,

    • Fuzzy match.

    Advanced columns

    Revisions

It shows all the translation versions

    of

    for a

    given

particular segment except for the last one, starting from whatever was

    inserted at the beginning

entered first. As mentioned, the final manual translation of a segment does not count as a revision; therefore, it will not be displayed in the column.

    1. Consider a workflow

    with
    1. in which there are two steps: Translate → Correct and the segment is to be translated from English to Polish: Alice has a cat.

    Upon
    1. When the project

    creation the segment receives
    1. is created, a pre-populated match

    that goes
    1. is inserted in the segment. This segment contains the text: Ala ma chomika.

    The
    1. In the Translate step, the first linguist translates the segment

    in the Translate step into
    1. to: Ala ma psa.

    2. Then, in the Correct step, the second

    linguists
    1. linguist corrects the previous

linguist’s translation in the Correct step by putting another version thereof
    1. linguist's translation by entering another version of it: Ala ma kota.

As a result, we end up with two revisions:

    • Ala ma chomika.

    • Ala ma psa.

    Along with the revision number

    of revision

, the column also shows the workflow step name in which a

    given

    particular revision

    took place

    was made.

If the Show usernames setting is

    activated

selected, the column also displays the date

    , time and

and time at which a correction was made, and the username of the user who made

    a correction

    it.

    Pre-translated text

It shows a pure text, unedited by a linguist,

    text

coming directly from a pre-populated MT/TM match, if the project settings

    allowed so

permitted this. The bold label at the top of the text indicates that an actual match

    that was

    has been applied.

    Post-edited text

The column shows the linguist’s very first manual revision of a text that has been machine-translated or

    TM

    pre-populated

    text

    from a TM.

    Consider
    1. Imagine a workflow that consists of three steps: Translate → Correct1 → Correct2 and the segment to be translated from English to Polish: Alice has a cat.

    Upon
    1. When the project

    creation the segment receives
    1. is created, a pre-populated match

    that goes
    1. is inserted in the segment. This segment contains the text: Ala ma chomika.

    The
    1. In the Translate step, the first linguist translates the segment

    in the Translate step into
    1. to: Ala ma psa.

    2. Then, in the Correct1 step, the second

    linguists
    1. linguist corrects the previous

linguist’s translation in the Correct1 step by putting another version thereof
    1. linguist's translation, by entering another version of it: Ala ma rybki.

    2. Finally, in the Correct2 step, another linguist

    decides to translate it as
    1. changes the translation to: Ala ma kota.

    As a result, the

    column “Post

    "Post-edited

    text”

    text" column will only display

    only

the translation that was inserted in the Translate step, that is:

    • Ala ma

    chomika
    • psa.

    Final text

It shows the text which is

    a

the final translation version of a

    given

particular segment in XTM Workbench and

    as such

so will be displayed in a target document.

    Mind you

Note that the workflow step name in bold

    points out to

    indicates the step

    where

in which this final version was inserted/the segment containing this version status was confirmed, so it does not necessarily have to be the last step in the workflow. A linguist might as well have

    entered

begun work on the project in one of the previous steps and

    performed

    made the change there.

    Edit distance score

    It shows the score

    that

. This will help you track the number of changes made by a post-editor in a machine-translated target segment.

    Good to know!

The Preview Extended table can also be downloaded directly from XTM Workbench:

    1. In XTM Workbench, go to Preview and click Excel extended table.

    ...

      ...

      1. At the bottom right of the page, a green message

      ...

      1. is displayed that informs you that the report is ready.

      ...

Further, Also keep in mind that the “Workbench” "XTM Workbench" version of the Extended table allows for obtaining only those restricts the segment selection to segments which have been filtered in XTM Workbench. In other words, you can first filter specific segments using in-built XTM Workbench filters and then download the segments' segment data in the form of the said report.
