Introduction
Automatic vendor assignment allows you to pre-assign vendors to specific steps in process templates. This functionality is incredibly useful when your localization process includes assigning the same vendors or Home Portal users to the same job types.
Automate vendor assignment in the process templates
To ensure that a specific service (process) includes specific vendors assigned to its steps, you have to configure its process template. To do so, perform the following steps:
Go to the
Configuration menu → Projects and Quotes → Process Templates (Smart).
Click the
‘Edit’ icon next to the template you want to configure or create a new template (for details, see the Add a Smart process template guide).
In the Process Template Designer display, select the step you want to automate.

Scroll down to the Default Vendor section in the step sidebar menu on the right.
Select the required option:
Select the Current Project Manager or Current Project Coordinator option to assign a Home Portal user.

Select the Specific Vendor option to select a vendor from the vendor list.
To automate sending job offers, select the required rule from the Send Job Offers according to rule dropdown. For details, see the Send job offers to vendors and Set up Smart vendor selection rules for job offers guides.
To automate sending Advanced Job Offers, select the required job prospecting strategy from the Send Advanced Job Offers dropdown. For more information about Advanced Job Offers, see the https://help.xtm.cloud/xtrf/advanced-job-offers/index.html?lang=en.
(Optional) In the Automatically Start Job when section of the step sidebar menu, configure the job auto-starting strategy. For details, see the Add a Smart process template guide.
The settings you select are saved automatically and will be valid for every new Smart quote or project where this process template is used.
Automate vendor assignment per project
You can also configure automatic vendor assignments in specific projects and quotes. Project and quote settings will override the ones configured in the process template.
Open the required Smart quote or project.
Navigate to the Process card.
Click the Edit Process button.
In the Process Designer display, select the step you want to automate.
In the step sidebar menu on the right, scroll down to the Default Vendor section and configure the settings as described in the Automate vendor assignment in the process templates section above.
Click the Apply Changes button at the top of the page to save your changes.
