Send job offers to vendors
Introduction
Sending a job offer is like sending an e-mail asking, 'Can you take this job?' With the Job Offers feature, you can send such an e-mail to many vendors simultaneously and provide them in advance with all the necessary files and information about the job.
If none of the vendors accepts your job offer, another group of vendors can be asked automatically. These groups are called ‘cascades’ because the e-mails are sent in a ‘waterfall’ or ‘cascading’ manner.
Job offers can be sent to vendors selected manually or automatically, according to a vendor selection rule (for details, see the Set up Smart vendor selection rules for job offers guide).
Job Offers can also be an element of the Automatic Vendor Assignments automation.
Send a job offer
Job offers can be sent:
In projects with defined source and target languages.
For jobs in Open status that have planned start date and deadline.
In multilingual projects, we recommend splitting jobs before sending job offers.
Open the required Smart project.
Go to the Process card.
For non-split jobs only:
Click the icon on the job card.
Click the Send Job Offers button. The Send Job Offers popup is displayed.
For split and non-split:
Click on the step in question.
(For split jobs) In the step side panel, select the job in question.
In the Vendor section, click the icon.
Click the Send Job Offers button. The Send Job Offers popup is displayed.
In the Send Job Offers popup:
Specify whether you want to select vendors automatically, according to a vendor selection rule, or manually.
For automatic selection:
Select the required rule from the Select Vendors According to Rule dropdown list. For details about vendor selection rules, see the Set up Smart vendor selection rules for job offers.
After you select a rule, a list of potential vendors is displayed for each cascade.
If you do not want to send a job offer to a specific vendor, deselect their checkbox.Â
Click the Send Job Offers button to start the first cascade or the E-mail Preview button to check or change the e-mail that will be sent to all vendors.
The change you make to the e-mail will be applied only to the specific job for which you are sending the job offers. If you want to modify the default notification template for Job Offers, go to the Configuration menu > Templates > Notifications and edit the E-mail/Text Message to Vendor: When Job Offers has been sent in Smart Project template.
For manual selection:
Click the Add Vendor(s) button to select vendors to whom the job offers will be sent. The Select Vendor popup is displayed with a prefiltered list of vendors. Select the checkboxes for required vendors and click the Select Vendor button.
Specify the offer expiration time in the Offer expires in field.
Click the Send Job Offers button to send an e-mail with a job offer to the selected vendors or the E-mail Preview button to check or change the e-mail content.
The change you make to the e-mail will be applied only to the specific job for which you are sending the job offers. If you want to modify the default notification template for Job Offers, go to the Configuration menu > Templates > Notifications and edit the E-mail/Text Message to Vendor: When Job Offers has been sent in Smart Project template.
After you send the job offers to vendors, the job status changes to Offers Sent. Vendors will be able to preview job details, such as deadline and word count, and accept or reject the job offer in the Job Offers module of the Vendor Portal or in the Job Manager.
After a vendor accepts the job, it becomes unavailable for other vendors to whom the job offer has been sent.
The system waits for the vendors to accept or reject the job for a period of time specified in the vendor selection rule or in the Offer expires in field.
When vendors are assigned via job offers, the ‘first one wins’ rule is always applied. It means that the system will automatically assign a job to the vendor who was the first to click the Accept button.
If no vendor accepts the job offer within the specified time period, the project manager will be notified via e-mail. The PM can then resend the job offers or assign a vendor to the job manually.
To check the details of the sent job offers, open the job side panel and click the Job Offers button in the Vendor section.
