Advanced Job Offers is an XTRF solution that helps you automate vendor selection by enabling you to create and implement your own vendor-choice strategies. When set up properly, vendor selection via advanced job offers requires little or no attention from you.
Previously, Advanced job offers required the use of XTRF Chat. Now, the Advanced job offers functionality is available directly in the Home and Vendor Portals.
What has changed
Job prospecting can be configured using the Projects & Quotes options in the Configuration menu.
Access to the Advanced job offers configuration can now be controlled through dedicated User Groups and Rights settings.
Negotiations are no longer available to vendors.
A vendor specialization filter is now obligatory.
‘Country’ and ‘Categories’ filter behavior has been changed.
Vendor ranking has been simplified.
Job offers can be filtered more easily.
The user experience across the functionality has been improved.
How to use embedded Advanced job offers
1. Grant access to the Advanced job offers configuration.
By default, only Home Portal administrators can access the Advanced job offers configuration settings. To grant other user groups access, perform the following steps:
In the Configuration menu, select User Management → User Groups and Rights.
Locate the group that requires access to Advanced job offers. Then click the icon.
On the user group page, select the required checkboxes at the top of the permission list:
Advanced Job Offers, to permit users to send advanced job offers.
Job Prospecting Strategies, to permit users to configure prospecting strategies.
Click the Save button at the bottom of the page.
2. Set up job prospecting strategies.
Introduction
By setting up job prospecting strategies, you define which vendors receive particular job offers, and in what order. Each job prospecting strategy consists of a sequence of steps (called “cascades”). According to the criteria defined in each cascade, a vendor pool will be created. If a vendor is found during the first cascade, subsequent cascades will not be triggered. You should therefore prioritize your cascades from optimal to acceptable. For example:
First cascade (optimal vendors): select from the preferred vendors.
Second cascade (good vendors): select from a broader pool of potential vendors that meet specific criteria.
Third cascade (acceptable vendors): select from vendors that only match a few criteria.
There is no limit on the number of cascades and their order. The only limitation is the overall Prospecting Expiry Time pre-defined in the job prospecting strategy General Settings card.
Prerequisites
Only vendors whose price profiles include the following details can be selected for Advanced Job Offers prospecting:
The relevant language pair.
The correct job type and specialization.
A default contact person.
Configure custom strategies
To create your own prospecting strategies for advanced job offers, perform the steps described in the expandable section below:
In the Configuration menu, select Projects & Quotes → Advanced Job Offers → Strategies tab.
To set up prospecting strategies, you must have been assigned the necessary permissions. If you cannot access these settings, contact your Home Portal administrator.
Click the Add Strategy button in the top right-hand corner. The strategy creator page will be displayed.
Enter the name of the new strategy in the Add strategy name field at the top of the screen.
We recommend giving your strategies descriptive names so you can easily select the right one for a job.
In the General Settings card, configure the following settings:
Specify whether the strategy should be Active and thus selectable.
Provide a Description.
In the Vendor assignment type section, specify how you want to assign vendors when the job prospecting ends:
Automatically, based on the cascade settings.
Manually, from the preselected list.
Enter the Job offer expiry time to define when the selection process should end if no vendor is selected for the job.
Set up the cascades. In the Cascade card, you have to decide which vendors should be offered the job first. You must set up all the cascades you plan to use in this strategy. For each cascade, perform the following steps:
Click on the Cascade bar to expand the cascade settings card.
(Optional) Enter a custom name for the cascade.
In the Filter vendor by section, specify how the vendors should be filtered:
Before the selected criteria are applied during the job prospecting, vendors will be automatically prefiltered based on the job type and language pair.
Specify vendor Specialization.
(Optional) From the Add filter… dropdown, select a new filter criterion. In the newly displayed filter fields, select the required settings. The Evaluation filter uses a percentage scale, so all the XTRF evaluation scales are recalculated during the prospecting. To ensure you get the expected results from filtering by evaluation, provide the correct percentage. For example, if you want to select vendors evaluated with four stars or higher on a 5-star scale, enter 80 in the second column. The system uses the following vendor evaluation levels from the Home Portal: 1. Specific evaluation for the selected job type, language combination, and specialization. If there is no such evaluation, then: 2. The evaluation for the selected job type and language combination. If there is no such evaluation, then: 3. The evaluation for the selected job type. If there is no such evaluation, then: 4. The vendor’s overall evaluation. If no such evaluation exists, the vendor is excluded from the cascade.
(Optional) To add filtering by custom fields or price profile name, click the Switch to advanced editing link. In the text field that appears in the Filter vendors by section, use the JQL syntax:
For custom fields - the additionalProperty(“Custom field name”) function,e.g., additionalProperty(“Nice folk”) = true or additionalProperty(“IQ”) > 100.
For price profile names - the additionalProperty(“PriceProfileName”) function, e.g., additionalProperty(“PriceProfileName”)exactly matches "EUR" or additionalProperty(“PriceProfileName”)does not start with "EUR". To check if the advanced filtering was entered correctly, try saving your changes. If your syntax is incorrect, you will receive a message indicating the error. Only the vendors who fit all set criteria will be processed later. You can select multiple filters to find the vendor best suited to the job.
In the Sort vendors by section, specify how the vendors should be sorted:
From the dropdown list, select the sorting criteria, starting with the most important ones.
Select the required settings for each criterion.
You can select multiple sorting criteria to ensure the most suitable vendors are at the top of the list.
In the Maximum number of vendors per cascade field, specify how many vendors this cascade should send job offers to.
In the Vendor selection rule section, specify the ranking strategy for comparing vendor contract proposals:
Select the first accepted offer: The first vendor to accept the job is selected. All other offers are closed. This option is recommended for automated assignments.
Select the cheapest vendor: After a cascade expires, the vendor with the lowest fee is selected for the job.
If you add another cascade, the Cascade duration section becomes active.
In it, you can do the following:
Set up the duration of the cascade – the time after which the next cascade will be launched.
Permit vendors to respond to job offers even after the next cascade has started.
If vendors are not selected within a cascade (for example, because they did not respond on time), they do not participate in the subsequent ones. Selecting the Permit… checkbox is the only option for letting them be selected if they respond later
(Optional) Set up the subsequent cascades as described in Steps 5a-g.
To add another cascade from scratch, click the Add Another Cascade button at the bottom of the display.
To copy an existing cascade, click the Duplicate button in the top-right corner of the cascade card, then change the required settings (for example, you can prolong the response time while keeping the other criteria).
To rearrange the cascades, click the icon in the top left-hand corner of the cascade card, then drag the cascade card to the desired position and drop it. Before rearranging, collapse the cascade cards.
Click the Save button in the top-right corner of the page.
3. Send Advanced job offers
Once you have defined a job prospecting strategy, you can use it to find the best vendor for the job. This process can be triggered in the XTRF Home Portal in two ways:
Manually, by the project manager.
Automatically, via suitably-configured process templates.
After you start job prospecting, any further changes in job details or payables will not be reflected in job offers.
Send Advanced job offers manually
Open the required Smart project.
In the Process card, click the icon next to the Select Vendor button, then select Send Advanced job offers. The Job Prospecting Wizard is displayed.
You can also send advanced job offers from the Jobs card and job side panel:
In the Job Prospecting Wizard, verify the current job prospecting conditions before sending job offers to vendors:
In the Configure vendor selection step, verify the job details, select the required strategy and vendor assignment type, then click the Continue button.
In the Preview vendors list step, you can do the following:
Verify how many vendors meet the criteria for each cascade. To switch to a different job prospecting strategy, click the ‘Back’ button and select another strategy in the previous step. Only trusted vendors will be proposed for sensitive clients. For details, see Use the Vendor Restricted Pool feature (Sensitive Clients and Trusted Vendors).
If the selected strategy has more than one cascade, you can:
set the time each cascade lasts in the Cascade duration
field.
enable vendors to respond during the entire job prospecting period by selecting the Permit vendors to respond to job offers from this cascade until job offers expire checkbox.
In the Expiry time card, set up the prospecting expiry time to specify when the job offers will no longer be active.
Once everything is correct, click the Send job offers button.
In the Send job offers step, after the first cascade of job offers is sent, the Show job offer status button is displayed.
Click it to open the Job Prospecting popup.
In it, you can do the following:
Check the vendors’ responses.
Cancel prospecting by clicking the Cancel job offering button in the top right-hand corner.
(For manual vendor assignment option) Assign a vendor to the job. To do so, click the Select vendor now button in the top right-hand corner, then click the Assign vendor button next to the selected vendor.
You can also access the Job Prospecting via the Configuration menu → Projects & Quotes → Advanced Job Offers → Dashboard tab.
Automate the sending of Advanced job offers
In the Configuration Menu, select Projects and Quotes → Process Templates (Smart) and locate the required process.
Click the icon to edit the selected process.
In the Process card, click on the required step. The step side panel will be displayed on the right.
Scroll down to the Default Vendor section.
From the Select Job Prospecting Strategy dropdown list, select the prospecting strategy for this job.
Repeat Steps 1-5 for other jobs and processes if necessary. To learn more about editing process templates, see the Add a Smart process template guide.
4. Monitor your job prospecting
All current and past job prospectings are displayed in the Configuration menu → Projects & Quotes → Advanced Job Offers → Dashboard tab screen.
To open a specific job prospecting page, click on its line in the list.
