Change Smart job details in bulk

Introduction

When you need to apply the same changes to multiple Smart jobs, you can use the ‘Bulk change’ functionality. This way, you can change the following details for up to 100 jobs in a single action:

  • Assign a different job status.

  • Edit job dates (planned start date and deadline).

  • Assign vendors to up to 100 jobs in a single action.

  • Add job instructions that will be displayed as PM instructions in the Vendor Portal.

You cannot perform a bulk change in jobs with the Ready or Canceled status, or in jobs that have already been invoiced.

 

Apply bulk change to multiple jobs

Bulk changes can also be applied to a single job, allowing you to edit several job details in a single popup.

To bulk edit multiple Smart jobs of a specific project, perform the following steps:

  1. Open the required Smart project.

  2. In the Jobs card, select the required jobs.

  3. From the Job actions menu, select the Bulk change… option.

To apply bulk changes to jobs from different projects, follow these steps:

  1. In the Projects module, select the Jobs tab.

  2. Select the required Smart jobs, then click the Bulk Change button in the top right-hand corner of the screen. Alternatively, right-click the selected jobs and click the Bulk Change button in the popup menu.

Use the Smart view filters to refine the job list. To restrict the current view to Smart jobs, select ‘Yes’ in the Smart Project filter. For details about customizing Smart views, see the https://xtm-cloud.atlassian.net/wiki/spaces/XKB/pages/3378413681 guide.

The Bulk change popup will be displayed.

  1. Using the radio buttons, select which job data type you want to change: job details or job status. Then click the Next button.

Change job details

If you have selected the Job details option, perform the following steps:

  1. Using the radio buttons, select the actions that will be applied to the following fields: Planned start date, Deadline, Vendor, and Specific job instructions.

    • Select Set to change or set the field value.

      • For the date-related fields, the date picker will be displayed. It will close automatically after you select the required date and time.
        The Planned start date field can only be edited in jobs with the following statuses: Open, Offers sent or Accepted.
        The Deadline field can only be edited in jobs with the following statuses: Open, Offers sent, Accepted or Started.

    • For the Vendor field, the Select vendor popup will be displayed. Using the filters above the vendor list, locate the required vendor and then select the checkbox beside their name, in the first column. Then click the Select vendor button to confirm your choice.
      You can only assign or reassign vendors in jobs with Open status.

    • Select Clear to remove the current field value.

    • Select Don’t change to keep the current field value.

  2. Click the Next button.

  3. Review the change summary.

    If some of the changes cannot be applied, the appropriate messages will be displayed for each action.

  4. Click the Confirm changes button to apply changes, or click Back to modify changes.

Change job status

If you have selected the Job status option, perform the following steps:

  1. From the Select status dropdown, select the required new status. The applicability of the new status to the selected jobs will be displayed in the table below.

Not all the limitations can be displayed in the table.

  1. If the required change is possible for all jobs, or you want to proceed even if some jobs are excluded from the status change, click the Next button.

  2. Review the changes and click the Confirm changes button.
