Manage the client's free funds

 

Introduction

If a client payment has been added to the system (for details, see the Add a client payment guide), but not all the funds have been allocated to invoices, they are considered to be the client’s free funds. These funds can be used to settle future invoices.


Track the client’s free funds

To check which clients have free funds, and the amount that has not been allocated to invoices in each case, go to the Invoicing module and select the Client Payments tab. Free funds will be listed in the Unassigned Amount column.

To check the free funds for a specific client, filter the payments by the Client Name, hover over the Unassigned Amount column header and click the icon.

Allocate free funds to the invoices

To use a client’s free funds for new invoices, you can select one of the following options:

  • Allocate funds to a single invoice via the invoice page:

    1. Open an unpaid invoice for a client who has free funds and select the Payments tab.

    2. Click the Assign button in the Client has free funds to cover this invoice section.

    3. Click the Save button.

  • Allocate funds to several invoices via the Client Payment popup:

    1. In the Client Payments tab, click the icon for a client payment with free funds. The Client Payment popup will be displayed.

    2. In the Assigned Amount column, use the green arrows to allocate funds to specific invoices.

    3. Click the Save button.

Use the green arrow in the bottom line to allocate all available funds from the current payment to the listed invoices.

The invoices that have been fully settled using free funds will automatically be marked as Fully Paid.

The invoices that have been partially paid with free funds will automatically be marked as Partially Paid.
