Trados Studio integration setup

XTRF Agent for Trados Studio configuration

  1. Download the XTRF Agent for Trados Studio provided by XTRF Management Systems.

  2. Install the Agent on the computer where Trados Studio is installed.

     

     

     

     

     

     

    The Agent will automatically run, and its icon will appear on your system tray.

  3. Right-click the icon and select Settings from the appearing menu to configure the Agent.

  4. Select the location where Trados Studio will store project files.

  5. Select the location where the Agent will store resource files (terminology files, translation memories, etc.).

  6. Enter the password, which you will later need to enter in XTRF.


Trados Studio Configuration

No changes are required. However, it is necessary to run Trados Studio at least once while being logged in as the user entered in the Agent configuration before the integration can be used.


XTRF Configuration

Add a CAT tool

  1. Log in to the XTRF Home Portal.

  2. Go to the Configuration menu > Integration > CAT Tools.

  3. Click the Add button on top of the CAT Tools table. You will be directed to the Add CAT Tool page.

  4. From the CAT Tool drop-down list, select SDL Trados.

  5. In the Name field, provide the desired name for the integration.

     

  6. Click the Save button. You will be directed to the newly created CAT tool page.

  7. Provide the Webservice URL under which Trados Studio is available.

  8. Enter the Password entered earlier in the Agent configuration.

  9. (Optional) You can specify the way the project names inTrados Studio will be generated by entering the Project Name Expression. The default expression is:
    [${this.languageCombination.sourceLanguage.symbol}]-[${this.languageCombination.targetLanguage.symbol}] ${this.idNumber} ${this.name}
    which includes two-letter symbols (plus country code, if applicable) of the source and target languages, the XTRF task ID, and the XTRF task name, e.g.:
    [EN_UK]-[DE] 2014/123 Translation of documents.

     

  10. Click the Save or Save and Exit button. Now the connection between Trados Studio and XTRF is established.

Workflow Configuration

To automate the integration, you should establish special workflows that will manage the communication between XTRF and Trados Studio. You can create as many workflows as you wish. To do so, perform the following steps:

  1. Go to  Configuration Menu → Projects and Quotes → Workflow Definitions (Classic) and click the Add button on top of the list. You will be directed to the Add Workflow Definition page.

  2. From the Type drop-down list, select Task Workflow.

  3. Provide a unique name for the new workflow.

  4. (Optional) Add a Description.

  5. Check the Active, Preferred Item, and Default boxes according to your preferences.

  6. Click the Save button.
    You will be directed to the Workflow Graph tab of the new workflow definition page. Here you need to configure the steps included in the workflow. The Project phase of your workflow must have the following structure:

    1. External Project Preparation (set the Default Provider as Automated Activity Action: External Project Preparation).

    2. Prepare Packages (set the Default Provider as Automated Activity Action: Prepare Packages).

    3. The proper jobs you wish to be performed in this workflow, e.g., Translation, Proofreading, etc. Note that between each pair of jobs, the Prepare Packages job should be added.

    4. External Project Finalisation (set the Default Provider as Automated Activity Action: External Project Finalisation).

  7. Add the ‘external’ jobs:

    1. Click the  icon in the Project jobs section. The Workflow Job pop-up window appears.

    2. From the Job Type drop-down list, select external project preparation / external project finalization.

    3. In the Default Vendor section, select the Automatic Action radio button > External Project Preparation / External Project Finalization.

       

    4. Click the Save button.

  8. Add the ‘package preparation’ jobs”

    1. Click the  icon in the Project jobs section. The Workflow Job pop-up window appears.

    2. From the Job Type drop-down list, select package preparation.

    3. In the Default Vendor section, select the Automatic Action radio button > Prepare Packages.

       

    4. Click the Save button.

  9. Go to the CAT Tools tab

  10. From the CAT Tool drop-down list, select memoQ.

  11. Check the Start Workflow after Completing CAT Receivable Using CAT Tool box if you want the workflow to automatically start after you create (automatically or manually) the CAT receivable.

  12. Decide whether you want to download the preview files with the Download Preview Files after Each External Job checkbox.

     

  13. Scroll down to the Job Mapping subtab. To ensure the correct information exchange between the two systems, you should match the jobs in XTRF with the corresponding workflow steps in Trados Studio. There are two workflow step types available in Trados Studio:

    • Translate

    • Review
      Job mapping is necessary for the SDLPPX package to include the correct settings. For more information on Trados Studio workflow steps, please refer to the Trados Studio documentation.

  14. Click the Save button.

  15. Switch to the Project Creation subtab.

    1. Decide whether a CAT Receivable should be created during project creation.

    2. Decide whether CAT Payables for each job should be created during project creation.

    3. You can specify several additional memoQ-specific settings in the fields below. For more information, please refer to the Trados Studio documentation.

       

  16. Click the Save button.

  17. Switch to the Machine Translation subtab. Here you can select if an MT engine (and which one) should be used. To learn more about those settings, see the Trados Studio documentation.

     

  18. Click the Save button.

  19. Switch to the Package for: subtab. There will be a Package tab for each external job. Here you can configure how Trados Studio prepares the SDLPPX packages for your vendors. To learn more about those settings, see the Trados Studio documentation.

     

  20. Click the Save button.

  21. Go to the Bundles tab and create as many bundles as you require. To learn more about bundles, see the Manage files in task workflow definitions and Configure the task workflow definition | Bundles articles.

     

    Assignment of bundles to particular jobs can be configured in the Workflow Graph tab.

    To make reference files available for the providers, place them in a separate bundle, and do NOT assign that bundle to the Project Creation, Package Preparation, and Project Finalization actions. The bundle should only be assigned (as read-only) to the jobs performed by the providers. 

     

  22. Click the Save or Save and Exit button.

Languages Configuration

Trados Studio doesn't allow using languages without country codes. If you wish to use such languages in XTRF, you need to change the two-letter ISO codes for such languages to include the country code.
