Dashboard module

 

Introduction

In the Dashboard module, you can quickly review and manage your work in XTRF. With a customized dashboard, you don’t need to search through the Home Portal: all that’s important to you is displayed in one place.
You can create your own dashboard in the Dashboard tab or use the predefined tabs for classic projects and quotes in the Classic Dashboard tab.


Dashboard tab

If you enter the Dashboard module for the first time, you will see the empty space, ready to be filled with personalized widgets. Click the Edit Dashboard button to start creating your own workspace. For details, see the Manage Smart Dashboard guide.


Classic Dashboard tab

IMPORTANT!

The Classic Dashboard is designed to manage classic projects and quotes. Smart projects and quotes may be displayed incorrectly. If you are working with smart projects and quotes, we highly recommend you to use only the Dashboard tab.

The Classic Dashboard consists of four predefined blocks: Open Projects, Files, Quotes, and Notes.

Open Projects subtab

In the Open Projects tab, you can revise and access all currently active projects. Use the filters at the top to narrow down the displayed results.

  • Check the Show Closed Task from Open Projects box to display all tasks, even the closed ones.

  • Use the Expand All or Expand to Task buttons to expand all projects.

  • In the Open Projects table, you can:

    • Expand a project to a task, a job, or a receivable by clicking the icon.

    • In the Project / Task / Job or Receivable column, click on the project, task, job, or receivable to be directed to this project, task, job, or receivable display, respectively (for Classic projects). For Smart projects, you will be directed to the project’s display.

    • In the Client / Vendor column, click on the Select Vendor button to open the Select Vendor Price Profile pop-up window.

    • In the Status column, change the job statuses by clicking the or icons.

    • In the Total Agreed column, click on the Add Receivable button to open the Task Receivable pop-up window or Add Payable button to open the Job Payable pop-up window.

    • In the Deadline column, click on the Select deadline or Select deadline for tasks buttons to open the Select deadline pop-up window for the selected project, task, or job.

    • Check the project’s notes in the Dashboard Note column. To learn how to create a dashboard note, see the Add Project page - step 13 article.

Statuses in the Status column appear:

  • green when the project/task/job was started or completed on time

  • red when the project/task/job was started or completed late.

You can also edit the Open Project default view or create a new one. To learn about adding and editing views, see the Classic views article.

Files subtab

In the Files tab, you can quickly access the files attached to a currently active classic project or assigned to a certain project manager.

  • From the Project Manager drop-down list, select the project manager in question.

  • From the Project drop-down list, select the project in question.
    A list of files attached to this project appears. From left to right, you can see the associated task details, the file details, such as word or character statistics, and the file’s progress.

  • Click the icon to download all files from a certain workflow step as a zip archive.

Quotes subtab

In the Quotes tab, you can view and manage the quotes connected to the currently logged-in user or add new ones.

  • Use the filters on the left to narrow down the search.

  • Click on the quote to enter this quote display or click the icon to enter it in the edit mode.

  • Click the Add button to create a new quote. To learn how to create quotes, see the Add a quote article.

  • Click the View: drop-down menu to select another view or add a new one. To learn about adding and editing views, see the Classic views article.

  • Check the status of the quote in the Status column:

    • Accepted - the client and the salesperson agreed on the quote.

    • Accepted by Client - the quote was accepted by the client and is waiting for the salesperson’s response.

    • Pending - the quote was created or edited by the salesperson but wasn’t submitted for the client’s review.

    • Requested - the client has created a quote on the Client Portal and is waiting for a response from the salesperson.

    • Rejected - the quote was rejected by either the client or the salesperson.

    • Sent:

      • the salesperson had created a quote and sent it for the client’s review

      • (for quotes with automated quote sending enabled) the external system had recalculated the CAT receivable, and the quote was sent automatically. To learn more about automated quote sending, see the Automatic PO Sending article.

Notes subtab

In the Notes tab, you can find all the projects and tasks associated with the selected project manager.

  • From the Project Manager drop-down list, select the manager in question.

  • Click on the projects and tasks to enter them in edit mode.

  • Change the views according to your preferences. To learn more about classic views, see the Classic views article.
