How to perform a QA (Quality Assurance) check on a file

Introduction

The QA component ensures that your translations are of top quality. The spelling of your translations is checked using the relevant one of more than 90 different language dictionaries. Furthermore, the formatting, punctuation, and localization in the translated text are checked.

In XTM Cloud, the scope of the QA checks depends on the connected spell checker and its availability for the particular language. For reference, see the list of XTM Cloud languages that currently do not have a spellchecking dictionary: List of XTM Cloud languages for which there is no spellchecker.


Guidelines

  1. First, remember that the number of QA errors that will be applicable in your project, and their type, depends on the QA profile you specified for this project. If you have not done so already, read the following article first: How to create a QA profile and apply it to a project.

  2. Once the QA profile is configured, open XTM Workbench (see How to open a file for translation in a created project for help).

  3. Go to Settings → General.

  1. In the General tab, go to the QA section. You will see three main QA options that you can apply in a project (regardless of how your QA profile is configured). Select the required ones, click Apply and Save the settings.

  1. Click QA on the right-hand side of the XTM Workbench page. In the dropdown menu, you can select one of three QA options.

  • Run QA check on active segment → Only runs a QA check on the currently active target segment;

  • Run QA check on displayed segments → Only runs a QA check on the segments displayed in the page; its number can be set in Settings → General → XTM Workbench window;

  • Run QA check on document and show segments with warnings only → Runs a QA check for the entire document and filters out segments without any QA errors; additionally, you can include ICE and/or Leveraged matches in the checking.

IMPORTANT!

Keep in mind that the time needed to complete the QA check depends on the length of the document, so it might take a while.

Also, the QA check is only performed for the file you are currently working on! There is no possibility to perform a single multi-file QA check.

  1. The QA warnings are displayed in the docked QA panel at the bottom of the page, including information about the segment number, warning category and issue description. Select the warning to activate the segment it relates to. A checkbox next to a warning indicates that it is possible to take an action. Hover over the warning in the QA panel so that it is highlighted in blue. You can ignore the warning by selecting the X at the end of the line.

  1. QA warnings can also be displayed in a dedicated column in the Extended table form in Project editor → Files → Preview → Extended table… (you need to have a user with the project manager role).

Then you just need to select the relevant option (alongside others) in a popup window and generate the report.


Good to know!

As a user with the Administrator role, go to Configuration → Settings → Translation → Workflow and access → Linguist workflow options.

There are additional proofreading options which you can enable globally by selecting Check inconsistency when a linguist finishes any step (Checks for subcontracted projects are set in the main system).

The following checks, once activated, will run automatically every time a linguist attempts to finish their task in XTM Workbench.

In the Message when XTM Cloud finds an inconsistency field, you can enter a message that will inform a linguist about the existence of any of the listed errors.

Once you activate the relevant options and save the changes, a message about the attempt to finish the task in XTM Workbench is displayed for the linguist to see, if there are any inconsistencies.
