Introduction
The purpose of this article is to answer common questions about Costs & Metrics reports in XTM Cloud and to help resolve issues you might experience with them.
Before reading the article below, make sure you have a good understanding of the principles on which Costs & Metrics reports are based. See Costs & Metrics reports. |

An Preview Extended report (table). To access it, select Project Editor → Files → Preview. In this table, you can include the details shown in the screenshot below. As you can see, they include Comments. For more details about Preview Extended tables, see the dedicated article, Preview Extended table – description.

You can also download a “Comments report” from the Workflow tab. To do so, select Project editor → Workflow → (open file context menu) → Reports → Download all comments.

Importing new rate cards will not affect costs that have already been generated in active projects in XTM Cloud. If you generate new costs in projects after importing rate cards, these costs will naturally be based on the new rate cards. So what matters is when you generate costs in your projects.
We recommend that you deactivate existing rate cards before import. The rate card import tool will not work if you try to import rate cards that have duplicate settings (the same language, subject matter, and workflow step).
Is there any way that a Linguist can export a report that lists the time they have manually logged in previous projects?

On the other hand, the increased To be done word count may mean that you are not using “not approved” translation memory at all and the TM matches you were expecting have not been approved.
Non-translatable segments also require the setting to set them as “Done” automatically, to be enabled.
If a particular TM match (ICE/Leverage/MT) has a difference in inline tags and you are populating TM TM matches only if the number of their inline tags is the same, such TM match will also not be propagated in the target segment in XTM Workbench.
Finally, is a TM match in the segment is one that cannot be set as “Done” automatically – Fuzzy Match, Repetition, Fuzzy Repetition, No Match – it will of course not be propagated as well.
Are the statistics in the user’s Statistics tab a Target word countor a Source word count?[Users → User list → (select a user) → Edit user → Tasks → Statistics]?

If the “Cost and Metrics” reports that contain this data do not generate correctly or are inaccurate, this is usually due to incorrectly generated costs, which need to be present. To obtain detailed information about the error, take one of the projects that was supposed to appear in the report. In it, select Project Editor → Estimates → Costs, and hover over the icon on the right-hand side of a particular entry. To learn more about troubleshooting costs-related issues, see Costs generation – most common issues & troubleshooting.

Reports that do not require correctly generated costs:

You can download a Combined metrics report which will group together all the Metrics from the projects you have selected for that report. However, there is currently no report that would show you the character count for specific projects.
How to generate a PO (Purchase Order) that would exclude XTM Cloud jobs with full TM leveraging?
It might sometimes happen that in a newly created XTM Cloud project containing multiple jobs, one of them jobs will receive full TM leveraging (ICE matches), which usually makes all the segments in XTM Workbench auto-propagated, and that specific job is finished in an instant.
...
Suppose the vendor assigned to this job makes use of such rate card factors as, for example, minimum charge or fixed price per project/language. This might only generate redundant costs.
...
Therefore, you might want to exclude such XTM Cloud jobs from the costs of a generated Purchase Order (PO).
XTM Cloud offers two convenient ways to achieve that:
The first way is to create and assign the so-called dummy user (or dummy assignee) who does not have any rate cards configured, or has ones with all values set to “0”, to this specific workflow step (Project Editor → Workflow).
...
To mark a particular user as a dummy user, go to the user’s settings → General → General info, and select the Dummy user for cost generation checkbox.
...
When you do so, this user will be suggested as an assignee whose rate cards can be used for project cost calculation. Their name will be displayed in the Dummy assignee dropdown list in the Project Editor → Costs tab.
...

Keep in mind that once you have assigned such dummy user to a fully leveraged workflow step, you do not necessarily have to use the Dummy assignee field, and you can generate costs straightaway. This is because the steps with full TM leveraging will be charged in accordance with the dummy assignee’s rating. If, however, you would like to use the mentioned field, you should first unassign the affected vendor from a particular workflow step and leave it vacant. Then, going back to the Estimates → Costs tab, select a relevant dummy user from the dropdown and make sure to select where no assignment from the second dropdown. In this way, you will also ensure that those empty workflow steps will be charged in accordance with the dummy assignee’s rating. |
The second way is to mark the problematic workflow steps as non-chargeable. To do so, take the following steps:
As a user with administrative role, go to Configuration → Data → Estimates → Cost settings → Cost settings, and select the Show Chargeable checkbox in Workflow Editor checkbox, to enable manual selection of chargeable workflow steps directly in the workflow editor.
...
Next, go to your XTM Cloud project and go to a specific source file, that workflow you want to make changes to. You can perform workflow adjustments at the level of individual file [Project Editor → Workflow → (select a target language) → (select a file) → (click on the context menu) → Change workflow / due dates].
...
In the Workflow Editor for this particular file, you can decide which workflow step will be subject to charging, by selecting the Chargeable checkbox under a relevant step.
...
In this way, you will ensure that the workflow steps in question will not be incorporated in the PO costs.
