Introduction
The integration creates a linked project in XTM Cloud for each XTRF Smart project that is based on an XTM Cloud-integrated process template.
The creation of a linked project in XTM Cloud can be triggered manually or automatically, depending on the process template settings.
XTM Cloud projects can be created only for XTRF projects with a selected client and at least one language pair.
The linked project will not be created if the integration cannot find a matching language in XTM Cloud.

The sequence of steps in an XTRF project must correspond to an existing XTM Cloud workflow definition. Therefore, before creating an integrated project, make sure that there is an XTM Cloud workflow definition using the same steps in the same order. If there are several XTM Cloud workflow definitions with the same step sequence, the integration will select the oldest one (with the lowest ID). |
Integrated process templates
This integration requires the creation of specific integrated process templates. To add such a process template, perform the following steps:
Go to the Configuration menu > Projects and Quoets Quotes > Process Templates (Smart).
Click the Add Process Template button in the top right-hand corner.
On the Add Process Template page:
name the new template.
select the Integrated with XTM type.
select your XTM Cloud instance.
click the Add Process Template button.
In the process template designer, go to the CAT Tool Configuration card.
Select the required XTM Project Template.
The XTM Project Template defines machine translation-related settings. The XTRF settings will overwrite the client, languages, and workflow steps.Decide whether the XTM Project Creating should be automatic or manual.
In the Process card, configure the XTRF process using the CAT tool steps.

If you want to share Workbench links with vendors on the Vendor Portal, select the Bilingual Document (XTM) in the Work Files for Vendor section in the step sidebar menu for each CAT tool step. |
Now you can link this process template to a service (see the Service article) or select in the Process card of a Smart project.
Approve TM action
If you want to add an Approve TM action to the workflow, perform the following steps:
Create an XTRF step mapped to the Approve TM XTM Cloud step.
Add this step to the process template.
Assign to this step a Home Portal user who is also an in-house vendor (such as the project's PM), as no action will be required from their side.
Mapping & synchronizing project details
The integration synchronizes essential project details.
The PM of all XTM Cloud projects created by this integration will be the user whose ID was provided duiring the integration setup.
While creating a project (From XTRF to XTM):
Project name.
Client name > Customer.
If there are no customers with a matching name in XTM Cloud, the integration will automatically create a new XTM Cloud Customer.Client deadline > Delivery due date.
Specialization > Subject matter.
Workflow steps.
Language pairs.
Vendors > Linguists.
New target languages.
New source files.
After the project is created:
From XTM Cloud to XTRF:
Bilingual files.
(Optional) CAT analyses (see the section of this article).
Both ways:
Job statuses.
All the machine translation-related settings are configured solely on the XTM Cloud side per project template. For details, see the XTM Cloud documentation.
Synchronizing languages
Multiple language combinations within one XTRF project are reflected identically in XTM Cloud.
Languages are mapped using the ISO 639-1 code.
After you select the language, it cannot be changed anymore.
You can add new target languages in XTRF. They will be reflected in a linked XTM Cloud project, and (optional) the appropriate bilingual documents and CAT analyses can be downloaded to XTRF.
Fetching metrics
The integration automatically downloads XTM Cloud metrics for all For translation files available at the project creation stage and saves them as .JSON CAT Analysis files in the Smart project. Those files can be used to calculate CAT payables and receivables in XTRF.
To make sure that CAT analyses will be downloaded automatically upon project creation, perform the following steps:
Go to the Configuration menu > Projects and Quotes > Automations (Smart).
Scroll down to the Automatic CAT Analyses card.
Enable the automation in the top right-hand corner.
Check if the automation is enabled for the service(s) you are using in XTM Cloud-integrated projects.
Turn this automation off if you do not want to download the CAT analyses automatically.
You can also download CAT analyses manually at any moment via the Get CAT analyses for all documents option in the File actions menu on the Files card.
You can set a different strategy for the source files added later in the project. To do so, before adding new source files, open the integrated project, go to the Files card, click the icon, and turn the Automatic CAT Analyses on or off according to your preferences. The selected setting will be applied to all new source files.
Downloading translated documents
For XTM-linked projects, you can configure whether you want to download the translated documents to XTRF after each step. To do so, perform the following steps:
Go to the Configuration menu > Projects and Quotes > Process Templates (Smart) and open the XTM Cloud-integrated process.
In the Process Template Designer, go to the Process card.
Click on the CAT tool step.
In the side step panel on the right, scroll down to the XTM Integration section and select the desired option.
You can also change those settings after the project is created. To do so, perform the following steps:
Go to the project in question.
Go to the Process card.
Click the Edit Process button. You will be directed to the Process Designer.
Click on a step in the Process card.
In the side step panel on the right, scroll down to the XTM Integration section and select the desired option.
You can also download XTM target files manually via the Get all target files from the CAT tool option in the File actions menu on the Files card.
How to use the XTRF>XTM Cloud integration
Create a new XTRF project using the XTM Cloud-integrated process template (select the linked service in a project or the integrated process template in the Process card). An additional section will be displayed on the Process card, where you can change the XTM Cloud project template in a dropdown.
Select the client.
Add source files (you can also add new source files later).
Select the languages.
If you have selected the Automatic option in the integrated process template, the linked XTM Cloud project will be created automatically.
If you have selected the Manual option, you can click the Create Project in XTM button at any time after selecting the client, source, and target languages.Provide other project details and start the first job in XTRF.
