Introduction

A service in XTRF is a system value that represents your translation process workflows in a marketing language. You can present services to your clients in the Client Portal. You can customize your services to meet the needs of a particular client. For a different client, the same service could be configured so it refers to a different workflow. By default, services and their names are a copy of your workflow definitions, but of course, you can adjust the names according to your needs.


Add a new service

  1. Sign in to the XTRF Home Portal.

  2. Go to the (blue star) Configuration menu > System Values: Basic> Basic → Services.

  3. Click the Add button on top of the Services table. You will be directed to the Add Service page.

  4. In the Name field, provide a name for the new service.
    Note: (blue star) We recommend giving the services self-evident names as the clients will select services based on their names only.

  5. Decide whether this service should be Active and thus selectable.

  6. Decide whether this service should be marked as a Preferred Item and thus appear on top of the drop-down lists.

  7. Decide whether this service should be a Default one.

  8. Select the Project Type - Smart or Classic.

  9. Select the appropriate Process Template for smart Smart projects or Workflow for classic Classic projects.

  10. Select the Job Type that will be visible on client invoices.
    Note: (blue star)The selected job type doesn’t have to reflect all the actual jobs performed in the project.

  11. Click the Save button.

  12. (Optional) Add a localized name for the service if some members of your company use the Home Portal in a different language. To learn how to do that, see the System Values: Basic - Add a localized valuevalues article.

You can add only the Internally Managed services.


Select the services available on the Client Portal

By default, all the active services from the Home Portal are available for selection on the Client Portal. To allow your clients to select only specific services, perform the following steps:

  1. Go to the (blue star) Configuration menu > Portals > Client Portal.

  2. Click the Edit button at the bottom.

  3. Uncheck the All Active Services Available box.

  4. Transfer the desired services to the Selected Items list.
    💡 Double-click on an item in the Available Items list or select an item and click the Add button to add it to the Selected Items list. 

  5. Click the Save button at the bottom of the page.

The general settings for the Client Portal services may be overwritten by the settings in the particular client's profile (see the section below).


Manage services in client profiles

Regardless of the services selected in the configuration of the Client Portal, you may select the list of services available for a particular client. Moreover, you can modify the workflow behind those services to reflect your individual business arrangement.

  1. Go to the Clients module > Clients tab.

  2. Open the desired client profile in edit mode.

  3. Go to the Portal Settings tab.

  4. In the Available Services section, uncheck the Use default settings box.

  5. From the Add new service drop-down list, select the services you want to provide to this specific client.

  6. To change the default workflow of a service for this client, uncheck the Use default settings box in the Available Workflows column. A drop-down list with available workflows/processes appears next to each service.

  7. Select the appropriate workflow/process from the drop-down list. To remove a service from the client's list, click the Remove button.

  8. Click the Save button at the bottom of the page.
